Planning and Preparation

Time spent on planning and preparation makes life easier once you are out with the group. It is also an excellent way for involving the group, it needs many skills and offers a great way for your group to learn.

A good way to start any planning is with a check list, the way you work will be up to you, the result should be the same, a good, safe and enjoyable trip that meet the aims and needs of the group successfully.

Things to consider:

Where to? - Select somewhere that you can meet the aims and objectives of the group.

General Administration - Meet your legal requirements and work within the operating procedures of your organisation.

Transport / Travel - Bookings, reservations, documents (passports, driving licences etc.) Breakdown or emergency insurance.

Equipment - If you cannot get the equipment for a set activity you may have to arrange something else.

Catering - Be aware of dietary needs of the group, calories needed for activity based trips, are they catering for themselves or is it a central purchase to a planned menu.
Costing and Accounting - More administration, you should offer value to your group, keep accounts, and present them after the trip.

Supervision - Adequate numbers of supervisors, qualified for the activities to be undertaken, this needs to be sorted early on in the planning as it affects the whole working of the venture

Training - Ensure the group is up to the venture through training and experience.
